Once our clients submit an order for organizing a campaign, we begin with its planning. We work together with the client to determine the required number of brochures and the areas in which the campaign will take place to ensure that our service fully satisfies the campaign's commercial objectives and needs. Our well-developed internal structure allows for the planning and organisation of both regular and ad-hoc campaigns.

After the initial planning phase, the process is handled by our regional managers, who prepare distribution schedules and organize the work of the local managers and the on-site teams. The distribution schedules are subsequently shared with the client, providing them with a detailed breakdown of the distribution by location, district and day. The split of any given settlement into areas is accurate and clear. We always provide our clients with maps showing the exact boundaries. This makes distribution tracking easy and convenient. The actual distribution is carried out in each area on the specified day. The complete transparency of our workflow allows the client to be well aware of what is happening with their order and enables them to carry out external control through inspections in real time or on the day after distribution.

On the first day after the end of the distribution campaign, the client receives a report detailing how the distribution went and what the conversion rate was.

Logistics

We have the largest distribution network in Bulgaria. We offer distribution throughout the whole country, covering 65 settlements directly and servicing all other locations by mobile groups.

We have a modern central warehouse in Sofia and a large number of local warehouses. Our central warehouse is covered, secure, open 7 days a week and has convenient TIR access. We have forklifts and lifting equipment which allows the unloading of cargo from all types of vehicles.

We do not depend on external subcontractors for our distribution. Our company has its own fleet of vans, pick-up trucks, cars and tailgate trucks. In a matter of hours our team can deliver brochures from the central warehouse to a local warehouses anywhere in the country. Our logistics plan includes the delivery of the promotional materials from the local warehouse to the distributor.

We select our distributors based on their residence. This means that our employees work in well-known areas. Our selection ensures fast and efficient distribution of our clients' promotional materials. Distributors are equipped with lightweight and convenient trolleys, allowing for an easy and comfortable way to move around with a large number of brochures. In case of a particularly large volume, distributor trolleys are replenished by the local manager.

We offer our clients delivery to stores throughout the country.

Control

The years of experience in the field of direct mail marketing have convinced us that a well-developed control system is of utmost importance for the full and optimal distribution of our clients’ materials. We have developed a secure, effective and practically applicable system which exercises control over the distribution and its success rate. In other words, we can track the number of brochures which have been distributed to every building within the country.

 

A large number of the distributors working for us have been equipped with GPS devices and the rest will be equipped shortly. With the help of these devices our internal control department tracks the movement of the distributors during every moment of their work which provides a clear overview of the distribution and allows us to correct any mistakes immediately. At the end of each day of the distribution campaign, our team prepares an individual report for the movement of every single distributor. Each report is accompanied by a map which shows the movement of the distributor. On the basis of these reports, we prepare tailored advice and guidance for every distributor.

 

Besides this remote control, we also carry out on-site inspections. Работим както с локални проверяващи, така и с мобилни групи, в зависимост от населеното място, в което извършваме разпространение. Всеки от проверителите ни също е оборудван с GPS устройство, което позволява проследяване и получаване на потвърждение, че проверката е извършена на точните адреси и райони. При установено нарушение, проверяващите задължително попълват отчетна бланка с подробна информация за количеството липсващи брошури във входовете. Попълването на бланка е придружено и от събирането на доказателствен материал като снимки и интервю с живущите. В допълнение на двата метода на проверка, описани по-горе, имаме и трето ниво на контрол, чрез който проверяваме и гарантираме и работата на проверяващите. Наша практика е и организирането на съвместни проверки с представители на клиенти ни, за да може те сами да потвърдят качеството на извършената от нас услуга.

Monitoring and reporting

On the basis of the schedule, we track the campaign from its beginning up to the very end. We continuously monitor the distribution in each city and we notify our clients in case of a significant deviation from the schedule.

On the first day after the end of the direct mail campaign, the client receives a report containing detailed information on how the distribution went, at what percentage it was carried out and whether the number of leaflets delivered was sufficient to cover the specified areas completely. At the client's request, the report can contain additional information such as unvisited addresses, photographic material or feedback from end users.

In addition to the information described above, we collect and process a large amount of technical data such as area size, distribution time and difficulty level.
